Project Management Success Secrets And 4 Tips To Help You Get There

project management successProject management success is found in building and maintaining the right team. Without the right people in place to take on the correct tasks you will find yourself drowning in the overwhelming pressure that comes from being in charge. Today we have compiled a list of 4 tips to help you find that success in your own ventures.

Start With Organization

Creating a detailed project write up before the job even starts is an important piece to a successful project.

Your write up should include things such as:

Milestones you are looking to reach throughout the job.

Deliverable dates you can set and actually meet throughout the course of the project

A budget worksheet that shows all your time required and cost to complete the upcoming job.

Now having this detailed write up ahead of time does not mean that you won’t have changes or issues arise. However, having this original document for both you and your team to refer back to when either of those concerns arise will make working with each other and the client regarding them a much smoother process.

Working with the right team

In our last write up “Project Management Tips For Running A Successful Site” we talked about the importance in selecting the right team. When building a team less is more. In fact the larger the team the less productive they can be. This is why Jeff Bezos Amazon CEO uses what he calls “The 2 Pizza Rule”. By this he means, never have a meeting where 2 pizzas couldn’t feed the entire group.

You as the project manager can only handle so much being directed at you before the stress has you losing yourself and the vision for the project. Avoid this unnecessary stress while boosting your efficiency by limiting the size of your immediate team of people.

Building the right team is essential for project management success. In order to do this you must really know the people who are under your supervision. Learning their strengths as well as their weaknesses allows you to match up the right tasks with the correct people. Doing this increases the chance that your projects will not only run smoother but also are more likely to run on time and on budget, if not under. Now isn’t that what we all want for a job?

Have a good system in place for managing the project

Communicating on a project via email works well at the beginning stages of a large project. But once you really get further in, it quickly becomes a nightmare to have to scroll back up through everything to find the information you need. project management success

This is where digital file sharing and communication comes in handy. Programs like Slack are perfect for communicating with your team and even the client. You can break up your account on Slack into separate channels. This way only the people necessary to a particular section of the job will be available in that chat. In turn eliminating someone being delayed or confused by another team member’s responsibility.

Slack also allows you to file share or set notifications of file sharing from your other online connections. Google Drive and Dropbox are two such highly used file sharing options. These both can be connected to Slack so that your team knows what has been posted recently and where they can find it.

Using an online form of communication and file sharing ensures that your entire team is all on the same page no matter where they are in the world. Having your team on the same page leads to greater project management success.

Keep regular meetups short and sweet

Frequent communication with your team is a great way to keep your project on track to success. This does not mean you have to make time to meet face to face in a room every week. Sometimes it can be as simple as a quick check in phone call, direct messaging in something like; Slack or sitting down in a Zoom online meeting room for a quick chat.  project management success

Keep your meetings short to as to keep the attention of each member present. Use this time to remind everyone of the milestones coming up that week. Make sure you allow each team member an allotted amount of time to share their concerns and questions regarding their upcoming responsibilities.

Scheduling out regular weekly calls helps to ensure that there are no misunderstandings when it comes to areas of the job.
